The Shop Operations Coordinator position provides administrative and operational support to the shop, with a focus on data accuracy, process coordination, and compliance across systems, departments, and companies. Success in this role requires a high level of accuracy and attention to detail.

Key Responsibilities:

  • Invoice & Financial Processing:
    • Entering and processing invoices in Vista
    • Reconciling credit card receipts and statements
    • Serving as a point of contact for vendor invoice/payment inquiries
  • Operational Data Coordination
    • Entering equipment, work order items and hours, and parts into Vista
    • Ensuring invoices are matched to the correct work orders and records
  • Payroll Support
    • Collecting and reviewing timesheets for completeness and accuracy
    • Reviewing work orders, job numbers, and equipment coding for accuracy
    • Coordinating with ship staff to resolve missing or incorrect timesheet information
  • Equipment & Compliance Administration
    • Maintaining equipment records in Vista
    • Managing registrations (new and renewals), inspections, excise tax filings, and recalls
    • Administering toll accounts (EZ Pass)
  • General Shop & Vendor Support
    • Handling light front desk responsibilities
    • Acting as an inter-company and inter-department liaison between vendors, shop staff, and accounting
    • Shop office supplies inventory tracking and ordering

Qualifications:

  • High school diploma or equivalent
  • Strong attention to detail
  • Ability to work independently and collaboratively
  • Strong communication and organizational skills

Preferred Experience:

  • Construction and/or automative background
  • Experience with Microsoft applications (Outlook, Excel)
  • Vista & Tenna software experience
