Document Control Specialist

Position Description

Job Overview:

SPS New England is looking for a detail-oriented Document Control Specialist to manage and streamline document control processes within our construction/engineering projects. This position is responsible for maintaining the flow of construction documentation throughout the construction process and assisting our Project Managers.

Key Responsibilities:

  • Document Management:
  • Implement and administer project electronic document control systems, including internal and owner-facing platforms. Familiarity with SharePoint, e-Builder, Bluebeam Revu, and Procore is preferred.
  • Develop, implement, and maintain document control procedures and systems to manage electronic and physical project documentation.
  • Document Transmission and Tracking:
  • Transmit and track project documents, including submittals, Requests for Information (RFIs), contract drawings and specifications, material certifications, and other critical documentation.
  • Generate and maintain document logs; coordinate with and distribute to the project management team as needed.
  • Review and Approval Monitoring:
  • Track document reviews, approval statuses, and distributions to project personnel and subcontractors to ensure timely processing and compliance with project requirements.
  • Coordination and Communication:
  • Liaise with project managers, engineers, and other team members to gather, distribute, and update necessary documentation.
  • Facilitate communication between project teams to ensure all parties are informed of document changes and updates.
  • Distribute plans and specifications to contractor personnel, subcontractors and designers.
  • Compliance and Quality Control:
  • Verify that all documents comply with company standards, regulatory requirements, and project specifications.
  • Perform regular audits of document control processes to ensure accuracy and completeness.
  • Address and resolve document-related issues and discrepancies.
  • Record Keeping:
  • Maintain historical records of all project documentation and correspondence.
  • Ensure secure storage and accessibility of all records for future reference.
  • Implement data backup procedures to protect against loss of critical documentation.

Position Requirements

Requirements:

·        Bachelor’s Degree or extensive experience relevant to business administration, project management, construction and engineering, accounting, library science, or relevant discipline a plus.

·        Proficiency in Microsoft Office, including Word, Excel, and Outlook.

·        Experience with industry relevant document management systems and software such as SharePoint, e-Builder, Bluebeam Revu, and Procore is a strong plus.

·        Excellent communication and organizational skills, both orally and written including written reports and summaries, and presentations.

·        Excellent attention to detail, analytical skills, interpersonal skills, ability to multitask.

·        Experience in document control for the design and construction of large projects a plus.

·        Ability to be flexible and change directions to meet company needs.

Payroll Administrator

Position Description

Location: Salisbury, MA

Job Type: Full-Time

Job Summary: We are looking for a detail-oriented Payroll Administrator to handle the processing of employee payroll, ensuring accuracy and compliance with legal requirements. This role will involve maintaining payroll records, addressing payroll inquiries, and assisting with tax filings and reports.

Key Responsibilities:

•Process weekly payrolls for up to 500 employees including union and prevailing wage employees, ensuring timely, accurate payments.

•Maintain payroll records, including hours worked, salary, deductions, and benefits.

•Ensure compliance with tax laws, labor regulations, and union collective bargaining agreements

•Address payroll-related questions and resolve discrepancies promptly.

•Coordinate with HR to ensure that all new hires, terminations, and status changes are accurately reflected in the payroll system.

•Assist with year-end reporting, including W-2s and tax filings.

•Support payroll audits and collaborate with HR and accounting teams.

Corporate Trainer (Construction Industry)

Position Description

Overview: We are seeking a motivated and experienced Corporate Trainer specializing in the construction industry to join our team. Billing Specialist

The Construction Billing Specialist is responsible for managing and processing billing for construction projects. This role requires an individual with strong attention to detail, the ability to work with large volumes of data, and a competent understanding of construction billing practices. The ideal candidate will collaborate with project managers, subcontractors, and internal teams regarding variables like time and materials, invoicing, proper documentation, and compliance with contract terms.

Key Responsibilities:

  • Prepare and process accurate and timely billing for construction projects including progress billing, final invoices, and change orders
  • Review and verify contracts, work orders, time, materials, and subcontractor agreements to ensure proper billing and compliance.
  • Coordinate with project managers, contractors, and clients to resolve billing discrepancies and provide necessary documentation.
  • Monitor accounts receivable aging reports to ensure timely collection of payments and follow up on overdue invoices.
  • Maintain detailed and organized records of all billing activities and supporting documentation.
  • Assist in the preparation of monthly reports for management regarding billed and unbilled revenues.
  • Review and reconcile project cost reports, ensuring alignment with contract terms and project budgets.
  • Support audits and provide necessary documentation to external auditors when required.
  • Stay current on industry billing practices, regulations, and compliance standards.
Position Requirements

Qualifications:

  • High school diploma or equivalent; associate’s or bachelor’s degree in accounting, finance, construction management, or related field is preferred.
  • Proven experience (5-6 years) in billing, accounts receivable, or a similar accounting role, preferably within the construction industry.
